Before You Give an AI Agent the Keys: Seven Safety Controls Every Small Business Should Consider

AI agents are changing the way entrepreneurs manage digital businesses.

They can assist with customer enquiries, organise information, prepare marketing material, analyse performance and coordinate activities across connected software services.

But every additional permission introduces operational responsibility.

An AI assistant that drafts an email is different from an agent authorised to send messages, change prices or modify customer records.

Before introducing autonomous workflows, businesses need safeguards appropriate to the consequences of a mistake.

Seven Practical Controls

1. Start with Limited Permissions

Give an agent access only to the information and functions necessary for its assigned role.

An assistant that analyses product performance may not require permission to delete products or issue refunds.

Restricting permissions helps limit the consequences of errors.

2. Require Approval for Sensitive Actions

Important financial or operational changes should pass through a human review stage.

Examples include processing refunds, publishing legally sensitive material, deleting customer information and changing payment settings.

Human approval is especially valuable when an action is difficult to reverse.

3. Keep Independent Activity Logs

Businesses should be able to establish which actions an agent attempted, when they occurred and what systems were affected.

Logs support accountability, troubleshooting and investigation.

Where practical, logging controls should be administered independently from the agent carrying out the task.

4. Test Before Going Live

An agent should be evaluated using realistic examples before it receives production access.

Testing should cover ordinary workflows, unexpected inputs, incomplete instructions and permission boundaries.

Successful demonstrations alone are not sufficient evidence of reliability.

5. Define an Emergency Stop

Business owners should know how to suspend an agent’s access quickly.

Revoking API permissions, pausing workflows and disabling automated triggers can provide useful safeguards when abnormal behaviour is detected.

The shutdown mechanism should not rely on the agent deciding voluntarily to stop.

6. Protect Customer Information

Customer data should be collected and processed for legitimate purposes.

Businesses must consider data protection requirements, the handling practices of third-party providers and the risks created by connected applications.

AI convenience does not remove privacy obligations.

7. Measure Outcomes and Mistakes

Performance measurement should cover both benefits and risks.

Track time saved, completed tasks and measurable financial outcomes alongside inaccurate outputs, customer complaints, unauthorised actions and the cost of human corrections.

These measurements help determine whether automation is genuinely improving the business.

Automation Still Needs Management

The central attraction of AI agents is their capacity to perform useful work without constant manual instruction.

However, independence in task execution should not be confused with independence from accountability.

Responsible businesses can delegate work while retaining authority over permissions, budgets, monitoring and important decisions.

The objective is not to eliminate human involvement at every point.

It is to position human involvement where judgement, responsibility and oversight matter most.
