Imagine a two-column arts brochure. The left column describes an indoor pottery workshop with materials supplied. The right column advertises a poetry walk and tells participants to bring weatherproof clothing. A text extraction that mixes the columns could attach the clothing advice to the workshop. An AI summary built from that sequence might repeat the mistake in perfectly clear prose.
This is a hypothetical example, but it identifies a practical question worth asking before summarising a PDF: do the words still belong together? Checking spelling alone would miss the problem. The relationships between headings, paragraphs and neighbouring material also need to survive.
Check both the words and their relationships
The W3C’s PDF7 technique explains how optical character recognition, or OCR, converts scanned images of text into actual text. Its checking procedure includes saving the result as text and inspecting completeness and reading order, or listening with a screen reader or read-aloud tool.
For your working review, distinguish three things: the page you can see, the words recognised or extracted from it, and the sequence connecting those words. A document can pass one check while needing attention in another.
The W3C’s PDF3 guidance describes a two-column reading-order problem for assistive technology: a badly tagged document can be read across both columns rather than down one column and then the next. It recommends checking the sequence and explains that complex elements such as footnotes and sidebars can complicate conversion.
That guidance concerns PDF accessibility. It also gives an AI user a useful inspection question: which content has been grouped together? Treat a caption attached to the wrong paragraph, or a qualification separated from its claim, as something to investigate before drafting from the document.
Find out how the tool receives the document
AI document processing can include visual information. Google’s Gemini API documentation, updated on 8 October 2026, describes PDF processing through native vision and the use of both visual and textual elements.
Check your service’s documentation or ask its administrator how uploads are processed. Look for whether the workflow uses extracted text, page images or a combination. Where an extraction preview is available, compare it with the visible page.
A copy-and-paste test tells you about that particular extraction. A repaired tag structure tells you about the PDF’s structure. For the practical purpose of using AI, check the output of the workflow you actually intend to use as well.
If the service exposes no extraction preview, use a small task whose answer you can check directly. An AI-generated quotation is another output to compare with the page; it does not independently reveal the service’s internal processing.
Choose one page with a difficult layout
Start with a page containing the features that matter to your task. A cover page will tell you little about the brochure’s two columns. Choose the activities page, keep the original visible and follow each description from beginning to end.
- Headings: does each paragraph remain under the correct activity or section?
- Columns: does the sequence finish one passage before entering neighbouring material?
- Captions and notes: can you identify the passage or illustration each belongs to?
- Qualifications: do conditions and exceptions stay with the statements they modify?
If your PDF tool offers text export, export that page and follow the sequence beside the original. Where it offers read-aloud, listen while looking at the page. Then run the page through your intended AI workflow.
In the fictional brochure, write a short reference note yourself: pottery is indoors and materials are supplied; the poetry walk carries the clothing instruction. That note makes the first AI response easy to assess. You are checking a defined relationship before requesting a broad summary.
Correct recognition and sequence separately
For recognition errors, Adobe’s Acrobat guidance, updated on 22 October 2026, describes a review of uncertain words. In Scan & OCR, choose Correct recognized text, then enable Review recognized text. Compare each highlighted suspect with the scanned image and correct the recognised text where needed.
Use that review alongside checks of the passages important to your task. Correctly recognised words can still be assigned to the wrong section. Our brochure example requires checking which activity a sentence describes, even when its letters are accurate.
For tagged PDFs, Adobe’s Reading Order tool documentation, updated on 26 February 2026, describes numbered page regions and an Order panel for reviewing and changing their sequence. Adobe also recommends correcting the authoring file where possible, so future PDF versions inherit the repair. Its tool is intended for repairing PDFs tagged in Acrobat.
Work on a copy and keep the original available for comparison. After any repair or fresh export, repeat the page test through your intended AI workflow. Record what improved and what remains uncertain.
Request a small reconstruction before a summary
Give the AI a bounded task that exposes the relationships you need. For the brochure, you could ask:
Suggested prompt: On the selected page, list each activity separately. For each one, identify its setting, what is supplied and what participants should bring. Include the exact supporting passage and page reference. Mark unclear connections as unclear.
Compare the response with your reference note and the visible document. If an instruction moves to the wrong activity, inspect that passage and its extraction before expanding the task. Keep unresolved connections visible in your working notes.
Once the page test is satisfactory, request the wider summary. Retain source locations for the points you plan to use in a listing, newsletter or client document. A successful pilot gives you a checked starting point; review the other passages that support your final claims.
Keep a usable record of the correction
Save the original file, the corrected working copy and a brief note of the affected pages. Specify what changed: a recognised word, the sequence of text blocks, or your own interpretation of a relationship. These are different edits and should be traceable.
The next step is checking the summary itself. MaryChuks.com’s guide to auditing an AI summary explains how to compare its claims with the original. Reading-order checks prepare the material for that review.
Aim for an output in which each activity, instruction and qualification remains connected to its source. Clear prose becomes useful when the document’s relationships remain clear too.
